Performs the normal administrative and technical duties of the Transportation Division, which includes but is not limited to, answering multiple telephone lines, data entry, typing, filing, meeting minutes, scheduling appointments, managing calendars, organizing and following up on supervisor's assignments. Assist Transportation Manager with preparation of correspondence, technical documents for citizens, consultants, and other City departments. Customer service; greet the public by phone, e-mail, and in person. Assist with budget preparation, purchase orders, invoicing and submittals. This individual must be able to perform multiple tasks with continuous interruptions.
Assists the Transportation Manager with the Transit Program; Fixed Route, ADA Complementary Paratransit, Demand Response, Commuter Bus, supporting services and coordinates Transit activities. Works with the City's Transit consultant and contract monitoring efforts for administration of third-party contracts and contract agreements. Helps monitors the federal, state and local transit grant activities (JARC, Bus Livability, CMAQ, and Sections 5307, 5310, & 5339). Assists with FTA for Triennial Reviews and assists in the federal grant and third-party contract audits.
Must be able to perform varies general support tasks/ general office work such as making copies of drawings, filing and retrieving materials and scanning. Aids with a variety of administrative and financial support duties. Prepares reports, presentations, and other types of documentation. Generates and Processes budget reports purchase orders, check requests and documentation. Researches and prepares departmental grant applications. Conducts special projects as assigned. Ability to distribute maps, specifications and other documents.
Assists with Transit contracts and City activities; related to compliance with local, state (TxDOT) and federal (FTA) requirements. Aids with the coordination with Finance Department on grant reimbursements and reports from FTA and TxDOT through web based Electronic Clearing House Operation System (ECHO-Web), inputs reports into Transpiration Electronic Award and Management (TEAM/TrAMS) system.
Assists with public relations to the community. Responds to and resolves citizen inquires, requests, complaints, concerns, and questions related to Transit Program and other development related issues. Prepare outreach material and coordinate public outreach in compliance with federal and state requirements
Attend various regional transportation & transit boards, committees and working groups. Maintain a close relationship with City Council, Administration, all departments within the corporate structure as well with TxDOT, FTA, FHWA, H-GAC, local officials and public for developing and planning a transportation/mobility improvement program for the area.
1. Effective verbal and written communications skills are required; must be able to maintain positive professional attitude, tact and courtesy necessary to deal with internal and external customers, outside agencies, vendors, contractors and general public.
2. Ability to prepare and maintain records, files, reports, and schedules.
3. Skilled in the use of personal computers and applicable programs, applications and systems (ex. Microsoft office, Word, Excel, Access, Outlook, Adobe)
4. Must be able to independently maintain overall office activities
5. Knowledge in basic accounting for tracking expenditures, cash flow, and invoicing. Must have experience in money handling
